Run every 24/7 house from one record.

Roster sleepovers, broken shifts and overnight cover once. The same shift becomes SCHADS hours for Xero Payroll and the week’s NDIS claim, and the notes and incident reports written on shift are there when an audit asks.

Why now

Running a 24/7 house got harder in 2026. New registration, new sleepover rules, and the same hours still typed into three systems.

  • Registration is now required

Since 1 July 2026, SIL providers have to be registered with the NDIS Commission, with the audits, worker screening and incident management that come with it.

  • The sleepover rules changed

From the first full pay period on or after 1 June 2026, SCHADS treats work before and after a sleepover as one shift, which changes how the night’s hours are paid.

  • Overtime found on payday

A worker picks up an extra night, and nobody sees them pass their ordinary hours until the pay run.

  • A new face at bedtime

When cover comes from whoever is free, residents meet someone new for their most personal support.

  • 24 hours to notify

Serious incidents have to reach the NDIS Commission within 24 hours, and the note, the shift and who was on need to be easy to find.

  • The same hours, typed three times

Roster in one tool, timesheets in another, claims in a spreadsheet, and every change to a shift made in each.

Sleepovers, sorted before payday. On Grow, Diversity Sync’d reads a sleepover together with the shifts either side of it, so the whole night comes out as SCHADS pay items, allowance included, ready for Xero Payroll.

  • Sleepover, awake and broken shifts, and shifts that finish the next day
  • Record a worker’s 12-hour sleepover or 8-hour rest agreement on the shift, and the hours follow it
  • Work during a sleepover comes out as overtime, with a one-hour minimum
  • Sleepover and First Aid allowances applied automatically
  • Public holidays by each site’s state, with daylight saving counted

Start from the house’s usual week. A house runs to a pattern of day, afternoon, awake and sleepover shifts. Keep that pattern as a template and spend your time on the nights that change.

The usual week, as drafts.

Apply Riverside House’s standard week and its sleepovers arrive as draft shifts to adjust before you publish. Picked the wrong template? Undo it.

Cover the night with someone they know. Open the fill panel and every worker is ranked by who has supported the participant and who’s marked available, with leave, clashes and SCHADS hours caps counted. On Grow, you can also post the night as an open shift for staff to bid on.

Why Bailey

Bailey has supported James before, has worked 14 shifts at Riverside House and is marked available, with nothing else rostered at that time.

AI explanation

A steady week with one weak spot. Burnout risk scores lowest, because five staff go past 45 hours in a seven-day stretch. Client continuity is strong, with most participants seeing the same few workers.

Notes written on shift, every day of the week. Workers write notes from their phone’s browser and are reminded before the shift ends if one is missing. Each participant’s days show how fully they were noted, so a gap surfaces the same week.

FAQ

Common questions. What SIL providers ask before they switch.

Something else? Talk to us

Yes, on Grow. A sleepover is read together with the shifts either side of it, as the award has required from the first full pay period on or after 1 June 2026, and you can record a worker’s 12-hour sleepover or 8-hour rest agreement on the shift so the hours follow it. Work during the sleepover comes out as overtime with a one-hour minimum, and Sleepover and First Aid allowances are added automatically. Diversity Sync’d outputs hours by pay item and Xero Payroll works out the dollars, so your payroll team still checks each pay run.

The evidence is kept as you work: every note tied to its shift, participant and worker, NDIS incident reports with any restrictive practice flagged, Blue Card and NDIS Worker Screening expiry dates on every staff profile, and an audit log of who changed what. Diversity Sync’d doesn’t count down the 24-hour and 5-day reporting deadlines for you, so keep your reporting procedure as it is.

Yes. Set up each house as a site, group houses into branches, and roster by staff or by house. Each site follows its own state’s public holidays, and the wallboard puts coverage, hours and overtime on the office TV. Free covers 1 site; Grow covers as many as you run, and sites are never charged.

Each resident is claimed for their own shifts. Weekly billing lists every participant’s delivered shifts for the week and prices them against that participant’s support items, from the NDIS support catalogue in your account with 2026–27 pricing zones. Agency-managed residents’ lines go into an NDIS bulk payment file you upload to the NDIA portal, plan-managed residents’ invoices go to their plan manager through Xero, and self-managed invoices go by email. Large bulk changes to claims wait for a second person to approve them.

No. Workers sign in from their phone’s browser to see their shifts, clock on and off, write notes with photos and claim kilometres. Location is recorded at clock-on and clock-off, but it never stops a worker clocking off away from the address. It needs a data connection, and an iPhone app is on the way.

Grow is $10 per user a month, or $9 a month billed yearly, with a 14-day trial that takes a card at checkout. A user is any staff member active that month, casuals included, so a house staffed by 12 workers costs $120 a month. Participants and sites are never charged, and there’s no GST added. Free covers 5 staff, 10 participants and 1 site with no card; notes older than 90 days are hidden there, never deleted, and reappear on Grow. DS AI stays off until an admin turns it on, then its usage is billed separately.

Yes. Queensland reportable conduct cases run from intake through investigation to findings, with business-day clocks for the 3-day initial and 30-day interim reports, and a Standards of Care track alongside. Hours reconciliation compares funded and delivered hours per house, with uplifts, school absences and a departmental export.

Our onboarding team helps you import participants and staff from spreadsheets or the system you use today, set up your houses and train your team. Try it on Free or a 14-day Grow trial first. If it isn’t right, cancel a monthly plan anytime and take your data with you: notes as PDFs and registers as CSV.

Roster each shift once. Pay and claims follow.
