Queensland Reportable Conduct Scheme

Every case, run to the scheme’s clock. The head of entity must notify the Queensland Family and Child Commission (QFCC) within 3 business days of becoming aware, and send an interim report within 30 if the investigation is still open. Each case shows both due dates and takes your team through every step in order.

  • Due dates, counted for you

Each case works out its own due dates from the day your organisation became aware, Monday to Friday in your reporting timezone. Adjust either clock for your organisation.

  • From allegation to outcome

Intake, the threshold decision and a risk plan for the worker, then the Commission notification, the letter of allegation, interviews, findings and a worker screening review. Reportable convictions take their own path.

  • Who answers for each case

Your head of entity and any delegate are named on each case, with whether the allegation involves the head and, if it does, the other reporting pathway used.

  • Standards of Care, alongside

Standards of care reviews and harm reports under the Child Protection Act 1999 (Qld) sit beside your reportable conduct cases, with action plans and carer suitability reviews.

  • Correspondence with the evidence

Attach emails with the Commission, the worker or an external investigator from your Microsoft 365 mailbox, so they sit with the case they belong to.

  • Reports you can check

Each report PDF carries a SHA-256 digest and snapshot ID tying it to the case record. Email one from the case and the email’s confirmation ID is kept with it.

Rosters for houses that never close. Sleepovers, broken shifts and overnight shifts past midnight roster as they’re worked. When a shift needs cover, staff are ranked by who has worked with the young people before, who’s marked available, and their site and role.

  • Sleepover shifts and sleepover agreements
  • Cover ranked for continuity, availability, site and role
  • Leave and clashes counted, and on Grow, SCHADS hours caps
  • A roster health score for continuity, burnout risk, cost and compliance

Every funded hour, accounted for by house. Compare funded and delivered hours for each house and region, with the funded staffing ratio beside the one you run. Uplifts carry their evidence and approval, logged school absences add hours back, and contingency is tracked against its own budget.

Screening and privacy, kept with the record. Know when each worker’s screening runs out, and keep sensitive details in a note away from readers who shouldn’t see them.

Blue Cards on every profile.

Blue Card and NDIS Worker Screening numbers and expiry dates sit on each staff profile, and certificates send a reminder email as they near expiry.

  • Access, young person by young person

Roles built from 151 permissions decide who sees each young person’s records, and reportable conduct cases have permissions of their own.

  • A channel for each house

On Grow, Cora Chat keeps handovers, photos and linked shifts in one conversation for the house team.

FAQ

Common questions. What child safety providers ask before they switch.

Something else? Talk to us

Yes. Cases follow the Child Safe Organisations Act 2024 (Qld) and the QFCC’s reporting steps: the head of entity notifies the Commission within 3 business days of becoming aware, and an interim report follows within 30 business days if the investigation is still open. The case records the head of entity and any delegate, and whether the allegation involves the head. Reportable conduct schemes in other states aren’t covered.

Generate the initial, interim or final report from the case as a PDF and send it to the QFCC through its online portal. Then mark it submitted: the date is recorded on the case and a copy of the report as submitted is filed with it. Each PDF carries a SHA-256 digest and snapshot ID, so you can check it against the case record it was generated from.

From the day your organisation became aware, Monday to Friday, in your organisation’s reporting timezone. Public holidays aren’t skipped, so on the default clocks a due date can land earlier than the Act requires, never later. Both clocks can be adjusted for your organisation, and each case shows when its reports fall due.

Standards of care reviews and harm reports under the Child Protection Act 1999 (Qld), each with its own forms and timeframes: consultation, review and assessment plans, outcomes, action plans and carer suitability reviews. If a matter turns out to be reportable conduct, it can be escalated to a reportable conduct case.

No. The threshold step records the reportable conduct, child safety and NDIS questions together, and an NDIS reportable incident notification form sits in the same case for a young person who is also a participant. The NDIS register sits beside the reportable conduct register, and NDIS billing, plan budgets and SCHADS hours run on the same record.

Yes. Hours reconciliation compares funded and delivered hours for each house and region, with delivered hours taken from the published roster. School cutouts and logged absences, sleepovers, uplifts with their evidence and approval, and contingency are all accounted for, and the departmental export is a CSV of every period, uplift and review.

Only the people you give access to. Reportable conduct and Standards of Care cases each have their own permissions to view, edit, assign and close them, down to who can submit or finalise each type of report. On a Standards of Care case, a notifier marked confidential stays hidden from anyone without permission to see protected notifier identities. Care records are stored in AWS data centres in Sydney.

Free costs nothing, with no time limit and no card needed, for 5 staff, 10 active participants and 1 site. Grow is $10 per user a month, or $9 a month billed yearly, with a 14-day trial that takes a card at checkout. A user is any staff member active that month, casuals included, and young people and participants are never charged. Prices have no GST added, and larger organisations can talk to us about Enterprise. DS AI, the optional roster assistant, stays off until an admin turns it on, and its usage is billed separately. On Free, notes older than 90 days are hidden but never deleted, and they reappear on Grow.

Roster each shift once. Pay and claims follow.
