  • Timesheets

    To Xero AU Payroll

Approved timesheets arrive as draft timesheets in Xero, every hour in its SCHADS pay item, with allowances beside them. Contractors are left out, as they’re invoiced separately.

    How SCHADS hours work →
  • Leave

    Against Xero balances

Before each pay run, the Pay Summary screen splits each worker’s leave hours against their balances in Xero and raises the leave request there for you. Hours the balance can’t cover can go in as unpaid leave.

    How leave works →
  • Invoices

    To Xero invoicing

NDIS claims become draft invoices for each participant’s Xero customer, one claim or a week’s worth at a time. Credit notes follow them, and payments made in Xero can update the claim.

    How NDIS billing works →

A pay run that starts sorted. Each approved timesheet reaches Xero with its hours already in the pay items your payroll expects, from ordinary and overtime to night, weekend and public holiday hours, sleepovers and broken shifts included. Change one and sync it again while it’s still a draft in Xero.

12 timesheets created in Xero

The fortnight of 5–18 Oct, ready for your pay run.

Leave raised for Priya Raman7.60h

Leave raised against each Xero balance. Pay Summary reads each worker’s leave balances from Xero, covers the hours each balance allows and raises the leave request in Xero, so no one checks balances by hand before the pay run.

  • Each leave type mapped to its Xero leave type once
  • Balances read from Xero, not kept in two places
  • Hours past the balance raised as your unpaid leave type
  • Requests go in approved, so the hours come off the Xero balance straight away

Claims become Xero invoices. Send one claim or a whole week’s. Each participant is matched to their Xero customer, often their plan manager, and every invoice lands as a draft, so nothing goes out until you approve it in Xero.

  • A preview before each bulk send, with the reason any claim is skipped
  • Choose the Xero organisation and account code for each send
  • Credit notes raised here are sent to Xero too
  • Turn on automatic syncing and payments made in Xero update the claim
  • A claim with a live Xero invoice can’t be sent twice

Hours, not dollars

We sort the hours. Xero works out the pay. Pay rates stay in Xero, so when award rates change you update them there once, and every pay run after uses them. Claims work the same way: drafted here, then approved and sent from Xero.

Set up

Set up once. Sync every pay run. Each person who syncs timesheets or sends claims connects their own Xero login once, through Xero’s own sign-in, never a shared password. Pay items, leave types and staff are mapped once, so every hour and invoice lands where it belongs.

Step-by-step Xero guides→
  1. 01

    Connect Xero

Open Admin › Integrations › Xero and choose Connect. Approve access in Xero and you’re brought straight back. Add more Xero organisations the same way.

  2. 02

    Pick the payroll organisation

Choose the Xero organisation timesheets sync to, and line your pay calendars up with its payroll calendars.

  3. 03

    Map pay items and leave

Assign each pay rate, allowance and leave type to its Xero pay item or leave type, so every hour lands on the right line.

  4. 04

    Match your staff

Link each staff member to their Xero employee, or create them in Xero as a new payroll employee. Map sites to Xero tracking options if you report by house.

  5. 05

    Set up invoicing

Choose the account codes claims post to, and turn on automatic syncing if you want payments made in Xero to update claims.

  6. 06

    Sync

Approve the period’s timesheets and sync them, then run the pay in Xero. Send claims one at a time or in bulk.

Before you start

What you need before you connect. Set up payroll in Xero first and give each person who syncs the right access. The rest is mapping, done once.

  • Xero with Australian Payroll

Timesheets and leave sync to Xero AU Payroll, so payroll needs to be set up in your Xero organisation. Invoices use the same connection.

  • A Xero login for each person who syncs

Everyone who syncs timesheets or sends claims connects their own Xero login. That takes permission to connect integrations and sync timesheets in Diversity Sync’d, and access to the organisation in Xero.

Approved timesheets go to Xero AU Payroll with each hour in its SCHADS pay item and allowances beside them. Leave is raised as leave requests against each worker’s Xero balance. NDIS claims go as draft invoices to the participant’s Xero customer, and credit notes follow them. With automatic syncing on, payments and status changes made in Xero come back to the claim.

No. It works out hours by pay item, not dollars. Your pay rates live in Xero, which calculates the pay, so when award rates change you update them in Xero. Your payroll team still checks and runs each pay run in Xero.

Grow, at $10 per user a month or $9 a month billed yearly, with a 14-day trial that takes a card at checkout. Enterprise includes everything in Grow. The Free plan doesn’t include Xero, SCHADS hours or NDIS billing. Prices are in Australian dollars with no GST added.

No. Staff set up as contractors, in Diversity Sync’d or in Xero, are left out of payroll timesheets, because contractors are invoiced separately rather than paid through payroll.

Fix it and sync it again while the timesheet is still a draft in Xero, and the Xero copy is updated. If it’s been approved in Xero, revert it to draft there and sync again. Once it’s in a posted pay run, make the correction in Xero.

No. Every claim reaches Xero as a draft invoice, so you approve and send it from Xero. A claim with a live Xero invoice can’t be sent a second time, and if that invoice is voided or deleted in Xero, sending again creates a replacement.

They don’t go through Xero. For agency-managed participants, you export an NDIS bulk payment file from your claims and upload it to the NDIA portal, as there’s no direct NDIA connection. Plan-managed invoices go through Xero, and self-managed invoices can go by email.

Yes. Each organisation is added through Xero’s own sign-in. Timesheets sync to the organisation you pick for payroll, and each invoice send lets you choose the organisation it goes to.

Yes. Everything Diversity Sync’d sends to Xero goes on the Xero login of the person sending it, so each person who syncs timesheets, raises leave requests or sends claims connects their own Xero login once. That takes permission to connect integrations and sync timesheets in Diversity Sync’d, and access to the organisation in Xero.

Not yet. Xero is our payroll and accounting connection today, and MYOB and QuickBooks are on the way. Employment Hero syncs HR records such as staff details and certificates, but not payroll.

Roster each shift once. Pay and claims follow.
