No. Employment Hero is an HR sync here: staff details, certificate expiries and documents, new hires and leavers. Payroll runs through Xero Payroll, where approved timesheets arrive split into SCHADS pay items and Xero works out the pay. If you bring employment type across from Employment Hero, the sync preview warns when Xero’s employment basis needs to match before the next timesheet sync.

If a detail changed in both, it waits under Needs a decision and neither value is overwritten until an admin keeps one, which then goes to the other system. A value Employment Hero refuses waits there too, with its reason, and isn’t sent again until someone decides.

A new connection starts with the daily sync off. Once you switch on Sync from Employment Hero, staff details, certificates, documents and leavers sync once a day overnight, and new hires come across within minutes. You can preview and apply a sync whenever you like, with the daily sync on or off. With Sync to Employment Hero on, details set to go there are sent on the daily run and whenever someone applies a sync.

With Sync from Employment Hero on and New hires ticked, people added in Employment Hero come across within minutes as Locked staff: they hold a seat, but can’t sign in or be rostered until someone unlocks them, which sends their invite. Anyone who can’t come across yet, because no seat is free or they have no email, waits under New hires with the reason until you sort it. People already in Employment Hero when you tick it aren’t brought across; invite them as staff and link them. With Leavers ticked, someone terminated in Employment Hero is archived here when they leave: their login ends and their seat frees. A last day still ahead shows as a warning until then, and unticked, a termination is only a warning.

Yes, with New staff ticked and Sync to Employment Hero on. Whoever invites a staff member is asked for their date of birth, and once the invite is saved they’re created in Employment Hero with their name, email, date of birth and the employing entity and work location you chose, then linked. If an Employment Hero employee already has that email, they’re linked instead. Employment Hero emails them its own invite and bills per employee, so switching it on asks you to confirm.

Only through the app your company creates in Employment Hero’s Developer Portal. You enter its client ID and secret yourself, and each admin connects with their own Employment Hero login. The app reads staff details, certifications and documents, and sends nothing back until you switch sending on in sync settings.

Switch either direction off at any time in sync settings. Disconnect removes your own stored Employment Hero login, and Disconnect everyone removes every admin’s. Employment Hero doesn’t document a way to revoke its tokens from outside, so to end every connection on its side, delete the app in its Developer Portal.
